Taska ("the app") handles your information as set out below. Whenever the implementation changes, this document is changed at the same time.
The Japanese version is the original. If the two ever disagree, the Japanese one governs.

1. What we hold
1-1. Stored on the app's server (Google Firebase)
| Information | What for |
|---|---|
| The contents of your tasks, projects and notes | So the same data is there on every device |
| Contexts (the name, symbol and colour of @Home and the like, and the words that link one to Apple Calendar events) | The same |
| Place coordinates (the latitude and longitude you set on a context) | The same, and to tell you when you arrive there |
| Routine settings | The same |
| When you last finished a Weekly Review | The same, and to show a sign on Home when a review is overdue |
| The identifier of your anonymous account | To tell whose data is whose |
| Email address and name | Only if you sign in with Apple. So your data comes with you to a new device |
It is stored in Google Cloud Firestore. It is never sold or handed to anyone else.
1-2. Used only on your device, never sent anywhere
| Information | What for |
|---|---|
| Your current location | To narrow the list down to what you can do where you are |
| Scheduled notifications and alarms | To tell you at the time or place you chose |
| Display preferences (sort order, filters, whether you have read the intro) | So it looks the same next time you open it |
Your current location is used on the device only, to work out whether you are within range of a place you set. It is not sent to the server. The coordinates of a place you set yourself are stored as described in 1-1.
1-3. Used for advertising
The app shows advertising through Google AdMob. To deliver ads and measure their effect, AdMob may collect your device's advertising identifier (IDFA) and similar data.
- Before that happens, iOS asks you whether to allow tracking
- Every feature of the app works whether you allow it or not (only the relevance of the ads changes)
- For details, see Google's policy: policies.google.com/technologies/partner-sites
1-4. About AI drafts
This feature is part of Taska Premium. If you do not subscribe, nothing at all is sent to the AI (the button simply shows you the subscription screen).
If you do subscribe, then only when you press a button asking the AI, the data below goes through our server (Google Cloud Functions) to Google's generative AI (Gemini). There are five places you can ask, and each sends something different.
① "Have the AI write a draft" when turning an item into a project (the clarify screen)
| What is sent | Why |
|---|---|
| The text and title you wrote on that item | To draft a name or a desired outcome |
| The list of your context names (@Home and so on) | So it picks from choices that actually exist |
| The names of people you have delegated to before | So it only suggests someone with a basis |
② "Have the AI come up with action ideas" (the next-move prompt and the project screen)
| What is sent | Why |
|---|---|
| That project's name and desired outcome | So the ideas serve the point of the project |
| The names of the actions it already has | So it does not repeat what is there |
| The material notes on that project | So the specifics you wrote become ideas |
| The list of your context names | So it picks from choices that actually exist |
③ "Have the AI pick suggestions" (editing a routine group)
| What is sent | Why |
|---|---|
| The group's name and time | So it understands what kind of group it is |
| The names of the routines already in it | To use the pattern as a clue |
| The names of routines not in any group | So it picks only from those |
④ "Have the AI suggest an order" (the project screen)
| What is sent | Why |
|---|---|
| That project's name, desired outcome and purpose | So the order serves the point of the project |
| The names of that project's unfinished actions | So it reorders only those actions |
⑤ "Have the AI write a draft" under a name field (the clarify title, task details, routine editing)
| What is sent | Why |
|---|---|
| The note you wrote for that item | To condense it into a one-line name |
In all five cases, your device language setting (Japanese or English) is sent as well, so the draft comes back in the language you use.
- It is sent only when you press the button. Opening a screen sends nothing.
- Only the above is sent. Your location, place coordinates, email address and name are never sent.
- What comes back is only shown on screen; it is not saved as it arrives. For ① it goes into a field and is not saved until you confirm. For ② and ③ it only appears as ideas or a suggestion mark, and nothing changes until you pick one. For ④ it only shows the suggested order; nothing is reordered until you press "Use this order". For ⑤ it appears as a suggestion under the field, and the field does not change until you tap it. You can edit any of it freely.
- If you do not use this feature, nothing is sent to the AI.
- For how Google handles it, see Google's terms: ai.google.dev/gemini-api/terms
1-5. About Apple Calendar
If you turn on "Show Apple Calendar events", the app reads the calendars on your device.
- The events it reads are never sent to our server. They are read on the spot, only to show them to you and to tell whether a context linked to your events applies right now.
- It never changes an event either (you cannot edit one from Taska).
- You choose which calendars appear. If you leave this off, nothing is read.
1-6. About purchases
Buying, renewing and cancelling Taska Premium is handled entirely by Apple. The app does not store any record of a purchase. It simply asks Apple, when it needs to know, whether there is an active subscription.
- The app never receives your card number or any other payment details
- You can cancel any time: on iPhone and iPad in Settings ▸ your name ▸ Subscriptions, and on Mac in the App Store app ▸ Account ▸ Account Settings ▸ Subscriptions
1-7. About the "Report a problem" email
Pressing "Report a problem" on the Account screen opens your email app. To help us look into it, the message already contains these three things.
| What is filled in | Example |
|---|---|
| The app's version and build number | 1.3.4 (88) |
| The device model | iPhone17,2 |
| The OS version | iOS 26.4 |
- Nothing from your tasks or notes is included. What you write is up to you.
- Whether to send it is up to you too. The app never sends anything by itself; it only opens your email app. You may delete any of it before sending.
- Mail that reaches us is used only to answer your enquiry.
1-8. About handing something off
When you choose "Hand it to someone" while clarifying and then either send a link or pick someone you have handed things to before, that one item arrives in their Taska Inbox. Only these three things reach them:
| What reaches them | Why |
|---|---|
| The item's text and title | They cannot decide whether to take it on without knowing what it is |
| The name you set as "Name others see" | They cannot decide without knowing who it is from |
| The milestones: taken on, declined, done | Their reply back to you. "Seen" is never sent |
- Whether to send, and to whom, is your decision. The app never sends anything by itself.
- The copy that lands in their Taska is theirs. It stays on their side until they delete it.
- If you choose "Just write a name", nothing is sent (the name simply stays on your Waiting For list).
- We do not read your contacts.
1-9. About crash reports
When the app crashes, it sends where it crashed, the device model and the OS version to Firebase Crashlytics (Google). We need to know where it broke in order to fix it.
- Nothing from your tasks or notes is included.
- It is sent only when the app crashes. Ordinary use is not recorded.
1-10. About adding by email
If you turn on "Add by email" on the Account screen, you get your own address (…@usetaska.com).
When you forward an email to it, that email becomes one item in your Inbox.
| What we keep | Why |
|---|---|
| The subject and body text (up to about the first 4,000 characters) | To use as the note of that Inbox item |
| The sender's email address | So that only email from your own addresses is accepted |
| The list of sender addresses you chose to accept | Same as above |
- You decide whether to send something and what to send. The app never reads your mailbox.
- Attachments, HTML and email headers are not stored. Only the body text is.
- Email is received by Cloudflare (United States), which extracts the text and immediately passes it to the app's server (Google Firebase, as in 1-1). The email is not kept there.
- Email from an address you have not chosen to accept is not added to your Inbox. It is held as waiting for approval until you choose to accept or discard it (the latest 20; older ones are deleted).
- You can create a new address at any time. If you turn the feature off, the address and anything waiting for approval are deleted.
2. What we do not do
- We do not track you for any purpose other than advertising
- We do not analyse the contents of your tasks to serve ads
- We do not sell or hand your data to anyone else
3. Taking your data out, and deleting it
- Taking it out: you can export all of your data at any time from the Account screen. There are two forms: one a person can read, and one that is a copy with nothing missing. Both open without this app.
- Deleting: you can erase all of your data from the Account screen. Deleting the app does not delete what is on the server, so if you want it gone, delete it from inside the app.
- Deleting your account: if you signed in with Apple, "Delete account" on the Account screen erases your data and disconnects Sign in with Apple as well. A Premium subscription continues on Apple's side; cancel it separately if you no longer want it.
4. How long we keep it
What we hold on the server is kept until you delete it.
- "Erase all data" inside the app removes it at any time
- Deleted data cannot be recovered
- Deleting the app does not remove it (so it can come back on a new device)
We will not delete a long-unused anonymous account on our own initiative.
5. Children
The app is not aimed at any particular age group, and we do not knowingly collect information from children. If you are a parent or guardian and believe your child's information has been given to us, please write to the address below. We will check and delete it.
6. Getting in touch
For questions about this policy or about how data is handled: taska@pasv.tech
7. Changes
If this policy changes, the last-updated date at the top is changed with it. When a change matters, we will say so in the app as well.
